Organizing Correspondence
Email Management and Smart Replies
This feature helps you manage your emails intelligently. It can find specific messages, draft replies, send responses, and organize your inbox – all through natural conversation. Think of it as your personal email assistant.
What You Can Do:
1. Find Specific Emails
Search for messages using natural language.
Example 1: “Find the email from John about the project proposal” – The AI searches your inbox and returns: “I found an email from john@company.com sent last Tuesday with subject ‘Project Proposal – Draft for Review’.”
Example 2: “Show me all unread emails from this week” – The AI lists: “You have 5 unread messages: 2 from clients, 1 from your boss, and 2 newsletters.”
Example 3: “Did I get any emails about the conference?” – The AI checks: “Yes, you have 3 emails about the conference – registration confirmation, schedule update, and a message from a fellow attendee.”
2. Draft Replies
Have the AI write responses for you.
Example 4: “Draft a reply to Sarah’s email about the meeting” – The AI creates a professional response: “Dear Sarah, Thank you for your email about the meeting. I’m available on Thursday at 2 PM. Please let me know if that works for you. Best regards, [Your name]”
Example 5: “Write a polite rejection for the job applicant” – The AI composes: “Dear [Name], Thank you for your interest in the position and for taking the time to apply. After careful review, we have decided to move forward with other candidates whose qualifications more closely match our needs. We wish you success in your job search. Sincerely, [Your name]”
Example 6: “Respond to the client’s complaint with an apology” – The AI drafts: “Dear [Client], I sincerely apologize for the inconvenience you’ve experienced. This is not the level of service we aim to provide. I’ve looked into the issue and [explanation]. To make things right, I’d like to [solution]. Please let me know if this works for you.”
3. Send Replies Automatically
Once you approve, the AI sends the email.
Example 7: “Send that reply to Sarah” – The AI confirms: “Your reply to Sarah has been sent successfully. Would you like me to notify you when she responds?”
Example 8: “Reply to the client’s email about the delay with an apology and send it” – The AI drafts, sends, and confirms: “Email sent to client@company.com with your apology and explanation of the delay.”
4. Search by Various Criteria
Find emails based on different details.
Example 9: “Find emails from last month about the budget” – The AI returns: “I found 4 emails about the budget from last month, including the final approved version sent on the 28th.”
Example 10: “Show me all emails with attachments from yesterday” – The AI lists: “You received 3 emails with attachments yesterday: 2 PDF reports and 1 image file.”
Example 11: “Find the email with the contract I need to sign” – The AI locates: “I found an email from legal@company.com with subject ‘Contract for Review – Please Sign’ sent last Friday.”
5. Smart Reply Generation
The AI tailors the tone and content.
Example 12: “Reply to this email in a casual tone” – The AI writes: “Hey Mark, Thanks for getting back to me! Thursday works perfectly. See you then!”
Example 13: “Write a formal response to the official inquiry” – The AI composes: “Dear Sir/Madam, In response to your inquiry dated June 10th, please find attached the requested documents. Should you require any additional information, please do not hesitate to contact me directly.”
Example 14: “Reply enthusiastically to the job offer” – The AI drafts: “Dear Hiring Team, Thank you so much for offering me the position! I’m absolutely thrilled and would love to accept. I’m looking forward to joining the team and contributing to your projects. When would be a good time to discuss next steps?”
6. Follow Natural Instructions
Give simple commands in everyday language.
Example 15: “Remind me about this email next week” – The AI creates a reminder: “I’ll remind you about this email on Monday, June 20th.”
Example 16: “Mark all these emails as read” – The AI confirms: “All 8 unread emails have been marked as read.”
Example 17:* “Move emails from this newsletter to a separate folder” – The AI organizes: “I’ve created a ‘Newsletters’ folder and moved all 15 emails from this sender there.”
Real-Life Scenarios:
Scenario 1 – Busy Professional:
You have 50 unread emails and no time to deal with them. You ask: “Find urgent emails from clients that need a response today.” The AI filters through everything and returns only the 3 most important messages requiring immediate attention.
Scenario 2 – Job Search:
You’re applying for jobs and ask: “Find all emails about job applications I sent last week and draft follow-up reminders.” The AI finds 5 applications and creates polite follow-up messages for each, ready for your review.
Scenario 3 – Project Management:
You ask: “Show me all emails from the design team about the website project and summarize the key decisions.” The AI scans through 20+ emails and returns: “Key decisions made: New color scheme approved (blue/gray), launch date moved to July 15, mobile version prioritized over tablet.”
Scenario 4 – Travel Planning:
You ask: “Find my flight confirmation and hotel booking emails.” The AI locates both and even suggests: “Your flight is on June 10th at 8:30 AM. Would you like me to add this to your calendar and set a reminder to check in 24 hours before?”
